How does MCR Impact your Leadership Role?

MCR is most effective when the chapter is utilizing all of the features cohesively. The MCR platform is designed to be a “one stop shop” for your chapter’s member management and communication needs, and complements recruitment and finance software you use to manage those specific aspects of your chapter.

Every Leader should

  • Have a good working knowledge of MCR so if asked, you can confidently help other Members

  • Send all chapter communication through MCR Mail, Announcements, and The Buzz

  • Add all events on the calendar and take attendance through MCR

  • Put important Documents & Resources within MCR so Members can easily find them

  • Utilize Projects to organize and manage your committee work

Most positions can/will utilize the many features of MCR; below we are showing specific examples for positions, however we are not implying that they are the only position that will use these features.

Position

Features in MCR to Utilize

Notes

President

  • Use of Surveys to set up nominating, interest, and election grids

  • Post executive board minutes/agenda in MCR

  • Safety Check-In Practice and Implementation as necessary

As the leader of leaders, your most critical role is making sure that all of your leaders are using MCR to its fullest capacity.

Standards

  • Utilize the ‘excuse queue’ to manage excuses for mandatory events

  • Monitor Member’s participation and reach out to those who are falling below your standard to check-in on their well being.

  • Utilizing the Resources and Documents area to make sure members have up-to-date information on policies and procedures

Make sure you are utilizing the “Standards” email invite function, an easy way to keep your standards meetings organized and Members informed.

Finance

  • Use MCR to show the budgets for your leaders that are not easily accessible through your financial software

  • In conjunction with your VP Standards, utilize the potential fines queue to communicate fines and the process for paying fines through billing portal

  • Utilize the Forms area to collect information on money spent and who is getting reimbursed, commonly called a check requisition form.

Both the leader budgets and potential fines queue are a way to help transparently communicate with other leaders and Members.

Most billing software bills Members on a specific date (Ex. first of the month) by using the potential fines queue Members are made aware they have a fine and are prepared to make that payment when it comes in their invoice.

Recruitment

  • Create a survey for Member information that matches PNM information to help with matching for rounds

  • Create a recruitment Buzz channel to use during recruitment and share timely details and updates

  • Coordinate with VP Communications to add all New Members to MCR on bid day and have New Member Educator assist getting New Members logged in and profile set up by first meeting

Remember that a lot of information is also available via the Member profile page and can be downloaded as a custom roster report

Risk Manager/ Social

  • Use the “Guest” feature to collect guest information for events and check them in for accountability

  • For events with limited attendance available; utilize the “RSVP” feature for Members to sign up to attend

  • Be familiar with the Emergency Contact custom leader report to easily access information in an emergency

One of the most critical aspects of social event management is knowing who is at your event- what time people arrive and leave. Using the MCR event check-in gives you precise information without the risk of losing paper attendance sheets.

Communications/PR

This is a position that wears many hats assisting almost every leadership position. It is important that you know how to use the many features of MCR well and that you coordinate with other positions to get information you need (such as New Member names and email addresses on bid day) to successfully complete your tasks.

Member Programming

  • Questions are a great way to get quick feedback from the chapter on preferences for events

  • Often times your events may have a limit on the number of people, utilize the RSVP option for Members to reserve their spot

Philanthropy/Service

  • Utilize achievements for Members to report service hours

  • For service opportunities organized by the  chapter, utilize self check-in AND check-out to keep accurate records of service

  • Utilize an on-going form if service hours are different per member and need to be explained in more depth.

If there is an event you should put that on the calendar, but if your chapter has service opportunities at a specific location, use the achievement self-check-in so that Members can check-in and out with a geo-tag stamp on their check-in/out.

Academics

  • Encourage Members to update their class schedule on their profile, to allow members to use the “Whose in my Class” report to find others who they can study with

  • Keep track of study hours/academic contracts using the “Self Check-In” achievements

Make sure to set the standard that Members must both check-in and check-out in order to get credit for their study hours as this is the only way to verify the time they have spent in the location.

Facility Operations

  • Keep up-to-date information for in-house members in one place

  • Create a form for house guests

Panhellenic Delegate

  • Utilize the calendar to inform members of other organization events

  • Utilize sign-up sheets or RSVP event feature to have members sign up for other Greek affiliated events

  • Utilize Resources to share important Panhellenic documents with the chapter
