When creating an event you now have the option to create a DRAFT event and place it on the calendar. Once the event is confirmed, you will be able to simply publish the draft to the calendar. This is a great option for chapters to see ahead of time what their calendar = will look like.  It gives leaders the opportunity to make sure the chapter is not being over programmed and it gives chapters the ability to vote on a slated calendar before the actual term.


Create an event like you would normally.  If you would like to draft it, click "Save as Draft"


IMPORTANT: Event template type cannot be changed once the event is saved as a draft or created without deleting the event and re-creating it. 


Depending on the event template type you will still select which users to invite to the event after clicking “Save as Draft” OR “Create” This way, your draft events don’t require any additional steps to publish unless you need to make an edit. 


Draft events will appear on the calendar in the event type color, with a bright blue outline around the event and will say “DRAFT” before the event title. If a Member is not invited to the event, it will show up on the calendar in gray with the “DRAFT” title. 



Once you are ready to publish the event you will click on the event on the calendar and click “edit” in the right corner of the pop-up event details screen. 



Once you click edit, you can make any changes necessary and then you can either “Save as Draft” again or “Publish” 



When you select “Publish” you will be prompted to answer if you are sure you want to publish. 



You will then be prompted to select whether you want to send an alert to Members. Remember that this creates an email that is sent to all Members invited to the event. Unless the event is being published on short notice or Members are waiting for an update, it is typically best NOT to send a notification. 


Once the event is published, Members will be able to submit excuses for the event and RSVP if those features have been selected in the event detail page. You can not “draft” an event after it has been published, however you can still edit the event. 


Admins, You can bulk approve drafted events using the “Edit Drafts” button at the top of the calendar. This is handy if you are calendar planning with your leadership and want to publish all at the same time.




In draft editing mode you can either click “select all drafts” or you can go through the calendar and select (or deselect if you click “select all drafts”) the events to publish by clicking the white checkbox by each event.


To approve the selected draft events, click the check mark icon at the top of the screen. To delete selected events, click the trash can at the top of the screen. You will get a prompt to confirm your selection and will automatically leave edit mode. When doing a bulk submission, no notifications will be sent. 



You can also click “Leave Edit Mode” to exit ‘Edit Mode’ without publishing or deleting any events.
